Archive Manager

Accessing Archive Manager requires that user have Basic Archive Manager role.

 

Master Archive

This list presents the main system versions that were once drafts and had been published (except for Version 1).

Buttons:

  • New Draft - allows the creation of new drafts (alternatives).

  • Open - opens HDC in the state saved in the chosen version.

  • Edit - allows editing of version name and description.

  • Set as System Default - when clicked, marks the selected version as System Default.

  • Advanced - group menu of advanced actions: "Show related Drafts" and "Revert version", described below.

     

Important

The screen version with ID 42 is marked as System Default.

This means that it has been set as the default version for all users. When users log into the system, they will automatically start using the marked version.

Advanced Functions

There are instances where problems are discovered after data from the Draft is published to the Master archive. It's vital that data created in Draft is thoroughly reviewed for consistency before publishing.

In the event of incorrect data being published to the Master archive, there is now a possibility to revert such a publication. However, only users with the Advanced Archive Manager role can perform this action. Certain prerequisites must be met for a publish to be reverted:

  1. There should be no Drafts in the system derived from the version that is going to be reverted.

    • This also applies to versions published after the selected version.

    • To check for this situation, use the dedicated function Show related Drafts, available from the new Advanced context menu.

    • If any drafts are found, administrators should take necessary actions; they can either discard or publish them before reverting.

  2. The version selected for revert or any later versions cannot be used as system default.

    • To resolve this issue, set a new default version that was published before the version selected for reversion.

Revert version

Function to revert selected version to Draft is available in Advanced function set in Version Manager:

When this function is used, the selected version (and all versions after that one) will be removed from the Master archive and moved back to a single Draft.

From there, decisions can be made regarding its next steps. It can be modified, a new import can be made into it, or it can be discarded altogether and replaced by new data.

Show related Drafts

Function to check for specific version (or later versions) related drafts is available under Advanced function set in Version Manager

Drafts

Drafts section is divided into three tabs:

  • My Drafts - drafts created by the current user

  • Drafts Shared with Me - all drafts created by other users that chose to share the draft with current user, either directly or by group.

  • All drafts - a tab available only to administrator that lists all drafts in the system

My Drafts  lists all drafts created by you. There are several operations that can be performed on a those drafts. 

  • Open - Draft will be loaded to main interface, all changes made in that draft are visible only to you and other users that have this draft shared and opened. 

  • Discard - the Draft itself and all data modified within this draft will be permanently deleted. This operation cannot be undone!

  • Edit - Change draft's name and description.

  • Publish - this operation will move all the data from the draft into a new version in Master Archive (for more information see Version Management)

  • Publish and Set As Default - will also move Current version marker to newly created version. All users will see that version as a default after login. 
    A draft can also be published using a scheduler, on a selected date. More on this topic: Draft Auto Publish

  • Share - this function allows you to give access to your Draft for other users or groups in the system. 
    Shared draft will appear in the "Drafts shared with me" section for selected users or groups. 

  • View Snapshots - Each draft can have a number of separate versions called snapshots. These snapshots can be described with a required name and description. The newest snapshot is the one that will be published to the main archive when the draft is published (the name and description for publishing will be taken from the draft).

 Depending on the assigned rights, the same operations can be performed on shared and all drafts. 

Filter drafts by name

In Archive Manger, new filter was added that will help to narrow list of drafts based on user input in the filter field.

The filter is present for all tabs: My Drafts, Drafts Shared With Me and All Drafts.Â
